1. Acceptance of Terms

By accessing or using EAPInvoice ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service. These Terms apply to all visitors, users, and others who access or use the Service.


The Service is owned and operated by EAPInvoice Ltd. ("Company", "we", "us", or "our"). By creating an account or organization workspace, you represent that you are at least 18 years of age and have the legal authority to enter into these Terms.

2. Accounts and Organizations

When you create an account, you must provide accurate, complete, and current information. You are responsible for maintaining the confidentiality of your account and password, and for restricting access to your account.


**Multi-Organization Tenancy.** EAPInvoice supports multiple organizations under a single user account. Each organization ("Workspace") operates as an isolated environment with its own invoices, members, and settings. You are responsible for all activity that occurs within your organization workspaces.


**Organization Ownership.** The user who creates an organization is the initial Owner. Ownership can be transferred to another member. The Owner is responsible for all activity, billing, and compliance within that organization.

3. Invoice Data and Processing

EAPInvoice processes and stores invoice data you upload or create within the Service. You retain all ownership rights to your invoice data.


**Status Classification.** EAPInvoice automatically classifies invoices based on the following criteria:

**Paid**: Invoices marked as paid with a recorded payment date

**Unpaid**: Invoices not yet due or within the payment period

**Overdue**: Invoices past their due date and unpaid

**Critical (6-Month Threshold)**: Invoices that have been unpaid for 180 days or more


**Automated Processing.** EAPInvoice may automatically send reminder notifications and trigger webhook events based on invoice status changes. You are responsible for configuring these automations appropriately.

4. Billing and Payments

Subscription fees are billed in advance on a monthly or annual basis. All fees are exclusive of applicable taxes. EAPInvoice uses Stripe for payment processing and does not store your full credit card information.


**Free Trial.** New accounts receive a 14-day free trial. No credit card is required to start. At the end of the trial, you will be asked to select a paid plan or your access will revert to read-only mode.


**Refund Policy.** If you cancel within 7 days of a billing cycle, you may request a pro-rated refund for the unused portion. Annual plan cancellations are subject to a 30-day refund window.

5. Data Privacy and Security

We take the security of your data seriously. All data transmitted to and from EAPInvoice is encrypted using TLS 1.3. Data at rest is encrypted using AES-256. We maintain SOC 2 Type II certification.


Your invoice data is never sold to third parties. We may use aggregated, anonymized data for product improvement purposes. See our Privacy Policy for full details on how we collect, use, and protect your data.

6. Prohibited Uses

You may not use EAPInvoice for any unlawful purpose, including but not limited to:

Creating fraudulent invoices or misrepresenting financial data

Money laundering or financing illegal activities

Violating any applicable laws or regulations

Attempting to gain unauthorized access to any part of the Service

Interfering with or disrupting the integrity or performance of the Service

Uploading malicious code, viruses, or harmful content

7. Termination

We may terminate or suspend your account immediately, without prior notice or liability, for any reason, including if you breach these Terms. Upon termination, your right to use the Service will immediately cease.


You may terminate your account at any time from your organization settings. Upon termination, we will retain your data for 30 days before permanent deletion, during which you may request a data export.

8. Limitation of Liability

In no event shall EAPInvoice, its directors, employees, partners, agents, suppliers, or affiliates, be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation loss of profits, data, use, goodwill, or other intangible losses, resulting from your access to or use of (or inability to access or use) the Service.


Our total liability to you for all claims arising out of or relating to these Terms or the Service shall not exceed the amounts paid by you to EAPInvoice in the twelve (12) months preceding the claim.

9. Changes to Terms

We reserve the right to modify these Terms at any time. We will provide notice of significant changes by email and/or by posting a notice in the Service at least 30 days before the changes take effect. Your continued use of the Service after such notice constitutes your acceptance of the revised Terms.
